CONSTITUTION OF
THE SINGERS GLEN BOWBENDERS
ARTICLE I - NAME
1. The name of this organization shall be the Singers Glen Bowbenders.
ARTICLE II – PURPOSE
1.. The purpose of this organization shall be: To foster expand and perpetuate the practice of field archery, and spirit of good fellowship among all archers; to encourage the use of the bow in hunting of all legal game, birds and animals; In securing better hunting privileges and conditions for bowhunters; to cooperate with all conservation organizations in the conservation of wildlife and natural resources; to maintain a field archery course and conduct tournaments and games.
ARTICLE III – MEMBERSHIP
Active membership shall be granted to anyone who has attained his/her twelfth (12) birthday, who has been sponsored by two (2) members in good standing and upon application, payment of regular fees and dues, upon approval of the majority present. All new members will have a ninety day probation period at the end of the ninety days invitation for membership will be granted or denied. If denied will be give a refund of dues money.
ARTICLE IV – BOARD OF DIRECTORS
1. The Board of Directors shall consist of the President, Vice President, Treasurer, Recording Secretary, Corresponding Secretary, Past President, Past Treasurer, and four other regular members in good standing (Trustees).
2. The Board of Directors shall control and manage the activities, policies and property of the organization subject to club approval by the membership.
3. At any meeting of the Board, Five (5) members shall constitute a quorum.
4. All vacancies of the Board shall be filled by election by members at the first regular meeting of the organization following a vacancy.
5. The Board of Directors shall meet as needed at a time and place to be fixed by the board.
6. The Board of Directors may suspend any member for conduct detrimental to the interest of the organization.
ARTICLE V – OFFICERS
1. The officers of the organization shall consist of a President, Vice President, Recording Secretary, Corresponding Secretary and Treasurer.
ARTICLE VI – ELECTION AND TERM OF OFFICE
1. The annual meeting of this organization shall be the first regular meeting after December first (1) and no later than December thirty first (31).
2. 2. At the annual meeting the membership shall elect the President, Vice President, Recording Secretary, Corresponding Secretary and Treasurer.
3. Officers cannot hold office for more than four (4) consecutive years. Any officer can be voted out at the end of any year.
4. The Directors shall be elected for a term of three (3) years. Accepting those elected to fill out an unexpired term.
5. A registered agent shall be appointed by the Board of Directors as required.
(Lawyer, C.P.A. etc)
ARTICLE VII – FEES AND DUES
1. All dues and outstanding fees are required to be paid by the February meeting
2. Any dues not paid by the February meeting will be considered delinquent and the member will have to fill out a new membership application and be re- voted on for membership.
3. The club house lock will be changed and new keys/membership cards given at the February meeting.
4. Membership fees shall be recommended by the Board of Directors and approved by a quorum of membership present at a meeting. This includes family privileges for spouse and all children under the age of eighteen (18), with the exception, that such dependents wish to be registered with the Virginia Bowhunters Assoc or other organization the club may be affiliated with. Shall be required to pay in addition to the above, the amount of such assessment.
5. Membership fees and dues will be reviewed annually by the Board of Directors sixty (60) days prior to December 31st of each year. Membership dues and fees, types of membership available and assessments, shall be instituted in the final meeting of the calendar year.
ARTICLE VIII – FISCAL YEAR
1. The organization shall function on a calendar year of January 1st to December 31st.
ARTICLE IX- COMMITTEES
1. The President shall appoint all committees of two are more persons as needed.
ARTICLE X- TOURNAMENTS
1. Tournaments shall be held as determined by the wishes of the outdoor and indoor range committees.
2. All tournaments excluding novelty shoots will be in accordance with the tournament rules of the Virginia Bowhunters Association.
3. All decisions by the range captain are final.
ARTICLE XI – MEETING
1. Regular Monthly meeting shall be held the first Monday of the month at 7pm except when the first Monday falls on a holiday then it will be held the following Wednesday at 7pm.
2. Ten (10) members present at a properly called meeting shall constitute a quorum.
ARTICLE XII – BUILDING FUND AND TREASURY
1. If the club becomes non- existent. The remaining monies will be donated to charity to support youth archery activities
ARTICLE XIII – YOUTH SUPERVISION
1. No youth under the age of 18 shall be permitted on club grounds unless accompanied by an adult club member.
ARTICLE XIV – ALCOHOL/ SMOKING
1. No alcohol shall be allowed on the premises.
2. Persons considered to be under the influence of alcohol or self administered intoxicants shall not be permitted to remain on club grounds.
3. Smoking is not permitted in the club house/indoor range. Smoking is permitted outside the club house and on the outdoor ranges. All smokers are expected to obey common sense guidelines to prevent fires and to respect the space of non-smokers.
ARTICLE XV – EXPENDITURES
1. The Officers and Board of Directors have the final responsibility for all major expenditures; however no major acquisitions will be made with out the input and voted by the club members.
2. In cases of emergencies, as determined by the Board of Directors, prior approval by the membership is not required. (example the roof blows off)
ARTICLE XVI – AMENDMENTS
1. The constitution of this organization may be altered; amended, repealed or additional articles may be added by a majority vote of a quorum present at a regular meeting provided the changes were presented at the previous meeting.
ARTICLE XVII – PRESIDENT
1. It shall be the duty of the president to preside at all meetings and in general to perform the duties of this office. He shall appoint all committees and such other duties as directed by the Board of Directors.
ARTICLE XVIII - VICE PRESIDENT
1. It shall be the duty of the vice president to perform the duties of the president in his absence and such other duties as may be required by the Board of Directors.
ARTICLE XIX – RECORDING SECRETARY
1. It shall be the duty of the recording secretary to keep minutes of all meetings and conduct all internal club correspondence.
ARTICLE XX – CORRESPONDING SECRETARY
1. It shall be the duty of the corresponding secretary to accept dues, maintain and submit membership records for the organization .It shall also be his/her duty to receive and submit all necessary correspondence to the Virginia Bowhunters Assoc. and /or other organizations that the organization may be affiliated with.
ARTICLE XXI – TREASURER
1. It shall be the duty of the treasurer to take charge of the funds of the organization subject to the general supervision and control of the Board of Directors. He/she shall, under the direction of the Board of Directors, give negotiate, or endorse such checks , notes and bills as may be required in conduct of business of the organization. He/she have authority to collect the funds of the organization, and he/she shall deposit all funds so received in such bank/banks as the Board of Directors may from time to time designate. He/she shall keep proper books of accounting which shall at all times be subject to examination by the president, or the Board of Directors or any agent. He/she shall render at all regular scheduled club meetings a statement showing the financial condition of the organization. At the last regular meeting of the membership, he/she shall submit a written statement showing the financial condition of the organization and a detailed report of the receipts, disbursements, and expenses for the calendar year. He/she shall be responsible for such other duties as may be required by the Board of Directors.
ARTICLE XXII – PERMANENT COMMITTEES
1. Finance committee this committee shall consist of three members, one of which shall serve as chairman and to be appointed by the president. It shall be the duty of this committee to work out and advise the Board of Directors on all matters pertaining to finances of the organization
2. Range committee (indoor & outdoor) these committees shall consist of one or more range captain and three or more other members to be appointed by the president. It shall be the duty of this committee to maintain the indoor and outdoor (paper & 3-d) ranges in first class condition at all times. They shall be responsible for all phases of course operations during tournaments, will formulate and recommend to the Board of Directors safety rules and regulations for range use, and such other programs that the organization may hold from time to time. They shall also provide schedules by the September meeting for the following year and publicity for shoots.
3. Buildings and grounds committee this committee shall consist of three members, one of which shall serve as chairman and to be appointed by the president This committee will be responsible for formulating and recommending to the Board of Directors rules and regulations for use of buildings and grounds. They shall be responsible for maintenance and improvements of club grounds other than ranges.
4. Concession committee this committee shall consist of three members, one of which shall serve as chairman and to be appointed by the president. It shall be the duty of this committee to order and sell concessions at shoots.
5. Trophies and awards committee this committee shall consist of three members, one of which shall serve as chairman and to be appointed by the president. It shall be the duty of this committee to order and hand out awards at the clubs annual awards banquet. They shall also order trophies and awards for shoots and other functions.
6. Program/Activities committee this committee shall consist of three members, one of which shall serve as chairman and to be appointed by the president. It shall be the duty of this committee to plan club picnics and banquets also to provide the program.
7. Website committee this committee shall consist of three members, one of which shall serve as chairman and to be appointed by the president. It shall be the duty of this committee to update and take care of the clubs website. They will make sure to have scores and information posted in a timely manner. They will make recommendations and change pending a club vote. They will make the website a priority. The chairman of the Board of Directors and the President shall have any and all passwords at all times.
ARTICLE XXIII – CROSSBOWS AND BROADHEADS
1. No crossbows on indoor range
2. No broadheads on indoor or outdoor range unless a special shoot is organized by the range captains.

- Application for membership must be presented by sponsoring club members. Applicant should not be present the night the vote is taken. He/ She will be given an invitation for membership if club approval is given.
- Club members shall not exceed 100 (per the special use permit).
- Present members in good standing shall get first chance to rejoin (by Feb. meeting), after which new members may apply. The date placed on the application will determine the order in which membership will be voted on and invited into the club if approved.
- Although it is not a requirement, members are STRONGLY encouraged to participate in service to the club. This may include (but is not limited to) working at scheduled shoots, assisting work party’s in setting up targets , range and facilities maintenance, firewood cutting, financial and/or materials donations.
